1) What are The Kyoto Retreat dates and who can apply?
The Kyoto Retreat dates are October 16 - November 13, 2025. Any visual artist, curator, or writer over 21 years old—based anywhere in the world, regardless of race, gender, culture, or religion—is eligible to apply. The application deadline is July 15, 2025. We can only accept applications in English at this time. It is our goal to offer applications in other languages in the future.
2) Am I required to make artwork or complete a project during the retreat?
No. You are not required to make artwork or complete a project during the retreat. This is not a studio or production residency. You can use the time in the best way that you see fit. We recommend rest, research, and reflection.
3) Are my flights and accommodations paid for?
If you are selected for The Kyoto Retreat, you will receive a roundtrip flight to Kansai International Airport (KIX), located in Osaka Bay. You will have a private bedroom in a shared, private house for 4 weeks (October 16 - November 13, 2025). You will also receive $800 USD to supplement your meals and local transportation.
4) Is there an application fee?
Yes, there is a $95.00 USD application fee. The application fee is non-refundable.
5) How are individuals selected for The Kyoto Retreat?
Applications are reviewed by our director and Selection Committee - a cohort of international curators and arts professionals.
6) When will I hear back? What is the decision-making timeline?
The application deadline is July 15, 2025. Individuals who apply for the retreat will be informed of our decisions by August 15, 2025.
7) What kind of work can I submit with my application?
In addition to your CV or resume, you may submit up to 10 samples of any combination of jpegs, PDFs, audio, or video. Audio or video submissions should not exceed 10 minutes in length. The maximum file sizes and acceptable file types for submissions are detailed in the application.
9) Can my partner, spouse, children, or family come with me to the residency?
Unfortunately, no. The Kyoto Retreat is intended for individual artists.
10) What's the weather like in Kyoto?
In October and November, the city enjoys mild weather, with average temperatures ranging from 17°C (63°F) to 12°C (54°F).
11) May I smoke at The Kyoto Retreat?
Smoking is not allowed inside of the retreat. There are designated smoking areas in Japan.
12) Can I bring my pet with me?
Unfortunately, no. Pets are not allowed. If you are selected for the retreat and have a condition that requires the aid of a service animal, please let us know.
13) Do I need to buy my own food?
Yes. Residents are expected to purchase or prepare their own meals during their stay. There are several nearby supermarkets, restaurants, and cafes that offer a wide variety of food options. Each resident will receive $800 USD towards meals and local transportation.
14) What is your drug and alcohol policy?
The Kyoto Retreat is a drug-free environment. Violation will result in the termination of your stay. We also ask that participants consume alcohol responsibly.
15) Does The Kyoto Retreat provide transportation?
Our residency staff will meet you at the airport and bring you to your accommodations in Kyoto. We will help you with arrival and departure logistics. We will also help you navigate local destinations, buses, and trains. We do not provide you with a personal vehicle during the residency.
16) Can I edit my application after it has been submitted?
Unfortunately, no. Applications cannot be edited once they are submitted.
17) What if the reTREAT’S schedule is impacted by the COVID-19 pandemic?
Currently, there are no travel restrictions to Japan related to COVID-19. If the dates of the residency have to be rescheduled in any way, we will inform all applicants.
18) What if I have technical problems with the SlideRoom application?
Technical questions regarding the application portal should be directed to the SlideRoom Applicant Help Center.
19) May I submit my application and supplementary materials by email or regular mail?
Unfortunately, no. All applications must be submitted via SlideRoom.
